Executive Assistants:

Student Association Secretary

As the Student Association Secretary, an individual must adhere to the full job description as outlined in the Student Association By-Laws, which can be found at https://sa.buffalo.edu/SA-By-Laws. Some key components of the job are:

  • Shall give, or cause to be given, all notices in accordance with the provisions of Student Association Bylaws, and as required by law.
  • Shall perform any further duties assigned by these By-Laws or any duly adopted SA policy.
  • Shall be responsible for ensuring that accurate minutes of meetings are taken and approved for each of the following bodies: the Assembly, the Board of Directors, the Executive Committee, and the Members.
  • Works closely with the Student Association E-Board and Professional Staff for the completion of all required company documents and the archive of such.
  • Must attend Assembly Meeting, Board of Directors Meetings, and Executive Committee Meetings and any meeting of the Student Association Members.
  • Must be available for the summer
  • Reports to the SA Executive Board (President, Vice President, and Treasurer)
  • Be available to work for 8-15 hours a week, depending on the number of meetings and the workload of completing the appropriate paperwork.
  • Maintain consistent communication with the SA Executive Board and SA Professional Staff.
  • Be organized with all paperwork and archives and will adhere to the system that SA has established for completing this work.
  • Have the ability to meet deadlines, as stated by the SA Executive Board, SA Professional Staff, or New York State Law.

 

Media and Marketing Department:

Public Relations Manager Job Description:
  • Must be available for the summer
  • Report to the Executive Board, Chief of Staff, Media, Marketing Director, and Assistant Marketing Director and event director on the day of the show.
  • Host 6-8 consistent office hours each week.
  • Manage the SA Marketing Department and staff and hold regular department meetings.
  • Work with the Outreach Coordinators and Graphic Designers to ensure promotional materials are being created and distributed in a timely and high-quality manner.
  • Assign and assist the SA Photographers and Videographers to ensure SA departmental event photos and videos are properly edited & distributed.
  • Manage all social media resources used by the Student Association (including Facebook, Snapchat, Instagram & Twitter).
  • Post regular updates on SA’s social media pages and website about upcoming events, available services, and opportunities.
  • Update the SA website and Facebook page with events as requested by clubs, All SA Departments, the Executive Board, the Director, and the Assistant Director.
  • Responsible for creating and distributing press releases for the Student Association to local media outlets including on-campus and community publications and relevant University departments
  • Responsible for answering questions about events on the SA social media outlets and maintaining pages during large events
  • Responsible for local media outlets in attendance at large events, under the supervision of the Director and Assistant Director.
  • Designated liaison between The Spectrum newspaper and SA, responsible for organizing press passes at all events and providing regular updates on SA affairs.
  • Implement new and innovative ideas to further increase SA’s visibility to the student body.
  • Work with Outreach Coordinator in assisting with general SA promotion (posting fliers and distributing quarter sheets) as necessary.
  • Attend all SA Staff meetings, training, and staff activities and complete any preparation work that may be required in advance of such meetings.
  • Attend all department meetings.

Photographer Job Description:
  • Must be available for the summer in Buffalo
  • Report to the Executive Board, Chief of Staff, Media and Marketing Director and Assistant Media and Marketing Director.
  • Work as scheduled by the Media and Marketing Director or Assistant Media and Marketing Director.
  • Must provide your own camera for photography assignments.
  • Responsible for providing photographs for SA records, marketing and promotion efforts, or other photographic needs.
  • Provide SA, SA Departments, and SA clubs with photography services at events upon request and assignment.
  • Upload, save, and organize all pictures through SA’s Archives to ensure that photos are easily accessible in the future.
  • Coordinate with the Public Relations Manager to ensure that photos are uploaded to UB Student Association Facebook page within 24 to 48 hours after they are taken. Communicate with photographed organizations to ensure that they know when their photos have been posted.
  • Attend all SA Staff meetings, training, and staff activities and complete any preparation work that may be required in advance of such meetings.
  • Attend department meetings
  • Complete additional tasks as assigned by the Executive Board, Chief of Staff, Media and Marketing Director, and Assistant Media and Marketing Director.

Videographer Job Description:
  • Must be available for the summer in Buffalo
  • Report to the Executive Board, Chief of Staff, Media and Marketing Director, and Assistant. Media and Marketing Director.
  • Work as scheduled by the Media and Marketing Director and Assistant Media and Marketing Director.
  • May be asked to provide your own video camera for assignments (SA maintains only a limited amount of film equipment).
  • Work with clubs to record events and create promotional videos.
  • Operate cameras and SA video equipment to complete all necessary tasks.
  • Responsible for all post-production processes, including editing content and preparing the final product.
  • Coordinate with the Public Relations Manager to ensure that videos are uploaded to UB Student Association Facebook page within a timely fashion. Communicate with organizations to provide they know when their footage is completed.
  • Ensure all post-production equipment is in good working condition. Work with Media and Marketing Director to ensure all software is appropriately licensed and up to date.
  • Attend all SA Staff meetings, training, and staff activities and complete any preparation work that may be required in advance of such meetings.
  • Attend department meetings
  • Complete additional tasks as assigned by the Executive Board, Chief of Staff, Media and Marketing Director, and Assistant Media and Marketing Director.

Graphic Artist Job Description:
  • Must be available for the summer
  • Report to the Executive Board, Chief of Staff and Media and Marketing Director, and Assistant. Media and Marketing Director.
  • Work as scheduled by the Media and Marketing Director and Assistant Media and Marketing Director.
  • Must be skilled and experienced in using Adobe Photoshop, Illustrator, and InDesign.
  • Complete all tasks and projects as assigned by the Media and Marketing Director and Assistant Media and Marketing Director in a timely fashion. Assignments and projects may include creating advertisements for events, services, and opportunities, designing logos, and designing graphics for apparel.
  • Must be open to accepting criticism when creating graphics for SA and SA Clubs; there may be times during which several drafts/revisions will be required.
  • Keep and handle all SA-owned equipment in good working order. Report any broken or malfunctioning equipment to the Media and Marketing Director or Assistant Media and Marketing Director.
  • Attend all SA Staff meetings, training, and staff activities and complete any preparation work that may be required in advance of such meetings.
  • Attend department meetings

Production Department:

Sound Tech Job Description:
  • Must be available for the summer in Buffalo.
  • Report to the Executive Board, Chief of Staff, Production Director, Production Manager, and Technical Director.
  • Work when scheduled by the Production Director or Production Manager.
  • Work with fellow sound techs to set up, operate, and tear down production equipment (speakers, microphones, projectors, lighting, etc.) for events of various sizes that may include bands, singing, dancing, banquets, and panel discussions.
  • Keep and handle all SA-owned equipment in good working order by conducting maintenance or reporting any broken equipment to Production Director or Technical Director.
  • Arrive at all events requiring SA Production in proper attire (SA staff polo or other designated SA attire, closed-toe shoes).
  • Resolve any technical problems that arise with SA Production gear.
  • Arrive at events early to ensure that the sound gear is available and functioning.
  • Attend all and any training sessions hosted by Production Director, Production Manager, and/or Technical Director.
  • Read and respond to all weekly production department emails in a timely fashion and respond to all production calls on time.
  • Attend SA Staff meetings, training, and staff activities and complete any preparation work that may be required in advance of such meetings as assigned.
  •  Attend any scheduled department meetings as necessary.
  •  Complete additional tasks as assigned by the Production Manager, Production Director, Technical Director, Executive Board, and Chief of Staff.
  •  Maintain a professional attitude with sincerity and enthusiasm, reflecting SA’s commitment to the student body.

 

Student Affairs Department:

Student Affairs Director Job Description:
  • Must be available for the summer, preferably in Buffalo.
  • Report to the Executive Board and Chief of Staff.
  • Host 6-8 consistent office hours each week.
  • Complete all required duties as set forth by the Student Association Constitution and SA E- Board
  • Oversee all Student Affairs Department staff and hold regular department meetings.
  • Coordinate the nomination and selection process for the Milton Plesur Award, recognizing faculty and excellence.
  • Collaborate with the Student Wellness Team on the semiannual Chill Out relaxation program.
  • Work with SUNY Delegates to address student concerns and promote SUNY-level issues.
  • Implement/maintain mechanisms for student feedback including the implementation of school-wide surveys with SA Assembly
  • Attend all SA Student Assembly Meetings and serve as chair of the Student Affairs Committee as per the SA constitution.
  • Represent SA to University Administration per the direction of the SA Executive Board.
  • Oversee, as well as, aid Student Affairs staff with planning and implementing any programming.
  • Attend all SA Staff meetings, training, and staff activities and complete any preparation work that may be required in advance of such meetings.
  • Attend any scheduled Director meetings to facilitate interdepartmental collaboration.
  • Submit regular department reports to the Chief of Staff and SA President containing all department functions and requests.

Club Services:

Club Services Assistant Director Job Description:
  • Must be available for the summer.
  • Report to the Executive Board and Chief of Staff
  • Host 6-8 consistent office hours each week
  • Be an active resource for clubs to use when Council Coordinators are unavailable.
  • Maintain an active knowledge of all SA general and club-specific policies and procedures
  • Work collaboratively with the SA Departments, the Executive Board, and Club Council Coordinators to ensure that ample opportunities are provided for clubs to meet their requirements each semester
  • Work in conjunction with the Assistant Director to create and host at least three separate CTE style workshops for club members and leadership every semester.
  • Work with the Entertainment Department to host an independent club fair during spirit week, as well as ensuring club participation in all spirit week events.
  • Work with the Vice President and other departments to ensure a weekly update email is sent out to clubs.
  • In conjunction with the E-Board, plan the club orientation.
  • Plan and implement annual SA community service events.
  • Conduct a comprehensive inventory collection for all SA clubs during the spring. Semester. This collection should be done at the same time as budget proposals. Using the inventory data, create a set of recommendations for the E-board.
  • Attend and support different club meetings/events throughout the semester
  • Meet with Club E-Boards to see how SA can best support them.
  • Plan club fairs for SA clubs each semester, such as Creep your SA Day, Heart your Day, etc.
  • Submit regular department reports to the Chief of Staff and SA President containing all department functions and requests.
